03Ready-made alongside custom

Avsaro: from quote to payment, ready-made

Having your own system built takes time. For your sales there is a faster route: Avsaro, the business portal we use ourselves, which you can take ready-made.

Why Avsaro, and not a pile of separate programs

For many business owners a job now runs through four programs: a Word file for the quote, a separate service for the signature, another program for the invoice and yet another for the payment. Separate programs often charge per user per month, and together that quickly adds up to tens of euros a month, with you tying it all together yourself.

Avsaro does it all in one portal. One fixed price, with no charge per user, per document or per signature. And you can try it for thirty minutes first, without an account.

What it is

An all-in-one business portal for your sales

From quote to payment, everything runs in one place, hosted and supported by Assist2go.

  • Quotes your client signs online, with an evidence file that can be verified
  • Invoices, deposit invoices and credit notes with continuous numbering
  • Subscriptions that create a draft invoice on their own
  • Payment with iDEAL through your own Mollie account
  • A copy of your invoices by e-mail to the Exact Online digital mailbox (not a direct link), and signed quotes in your OneDrive
  • Reports and exports for your accountant

Who it is for

For business owners who handle their own sales: one owner, one overview. Your client does not need to create an account.

When a custom ERP is the better choice

Avsaro handles your sales. If you need stock, purchasing, production or a general ledger, a custom ERP is the better choice. Teams that work together in one system also often choose custom software. We build that for you.

What a business portal looks like

Start with the short film of under two minutes, or watch the full film of just over six minutes. The portal in the films belongs to a fictional company, Studio Voorbeeld.

This is Avsaro, the business portal by Assist2go.

A quote takes a few minutes. You pick the customer and a template, and the prices come from your own service register.

You check and send with one click. Your customer gets a personal link.

The customer reads the quote, signs and confirms with a code by email. No account is needed.

After the signature the invoices are already waiting for you.

The customer pays with iDEAL, through your own Mollie account, and the invoice shows as paid by itself.

And under Rapporten you see revenue, VAT and debtors, always up to date.

The screens show sample data in Dutch.

  • A quote your customer signs online themselves, with a signature and a code by email.
  • An invoice your customer can also pay with iDEAL, after which your records update themselves.
  • A copy of every invoice sent to Exact and the signed quote saved automatically in OneDrive.
  • Reports and VAT that are always up to date, because they are based on the invoices themselves.

You open the portal and see right away where you stand: what is outstanding, what is overdue and what needs your attention today. Studio Voorbeeld is made up for this demo. When a customer pays late, you record the payment with one click on Betaald. Your subscriptions are there too, with the date of the next invoice.

Now a new quote. You click Offerte maken, pick the customer from your own list and start from a template, for example for a website or web shop. Text and terms are already in place.

In the editor you give the quote a title and read the introduction that is already written. What you deliver and what is not included sit in fixed text blocks, which prevents disputes later. Prices come from your service register and the total updates instantly, VAT included. A discount is a percentage or an amount. You set how long the quote is valid and which down payment you ask for, here thirty percent. In the live preview you see what your customer will read, before anything is sent.

Before sending, the portal checks the quote for missing details. You see exactly who receives the email. Once sent, the quote gets a fixed number, and the portal shows when your customer opens it.

Your customer gets a clean email with the quote as a PDF, your terms and a personal link. One click is enough.

The customer reads the quote on a page of their own, on phone, tablet or computer. Everything is in there: what you deliver, what it costs and how payment works. Optional items are chosen by the customer. Then comes the acceptance, in three steps. First the details and the confirmation of your terms. Then a signature, with a mouse or a finger, or typed via Schrijven. Finally a code by email, confirming it really is the customer. The portal keeps everything in an evidence file. The customer sees their acceptance with name, date and signature and gets the signed PDF.

Back in your portal the quote shows as accepted. The down payment invoice and the final invoice are already waiting as drafts. The timeline shows what happened, and the signed PDF with certificate is stored with the quote and also saved in OneDrive.

You review the down payment invoice with one click. The portal compares it with the signed quote, and you see the email your customer will get. Then you finalise and send it in one step: invoice number, PDF, email and a copy for Exact and OneDrive. For each part you see the status.

The customer opens the invoice on a page of their own. Paying with iDEAL runs through your own Mollie account. A bank transfer works too, with copy buttons for the details.

When a transfer arrives, you record the payment with one click on Betaald. Date and amount are already filled in. The invoice shows as paid, reminders stop and the figures are up to date.

The portal processes an iDEAL payment by itself. The invoice then shows as paid.

For recurring services, such as hosting or support, you use subscriptions. You set amount, VAT and payment term once. After that the portal creates the invoice every month. You choose whether it goes out at once or comes by first.

Under Rapporten you find revenue, VAT and outstanding amounts, calculated from your invoices. You choose a month, a quarter or a full year. Revenue is shown per month. The VAT on your sales is ready per quarter and per rate, to help with your VAT return. Under Debiteuren you see who still has to pay and for how long. And for your accountant you export everything as a CSV with one click.

All your customers sit in one list, with search and filters. In the customer file you see revenue and what is still outstanding, with the quotes, invoices and subscriptions of that customer below it.

An invoice you no longer want in view, you archive with a reason. The reason stays with the document. You find it again with the filter Gearchiveerd. And if you change your mind, one click puts it back.

Signing in takes a second step: a code from your authenticator app, with recovery codes as backup.

From quote to payment, all in one flow. Avsaro, the business portal by Assist2go. Want to know more? Visit avsaro.com.

In depth

Custom or off-the-shelf software?

Off-the-shelf software is the first choice if your process is ordinary. An accounting package or a ready-made CRM is cheaper to start with, the supplier keeps it up to date and it has a large user base. Custom software pays off when your way of working sets you apart, when you keep working around the package, or when you have to merge data from several systems by hand.

A mix often works best: standard packages for what is standard, a bespoke component for what makes you different, and integrations between them. We start with what you already have and build only what is missing.

ERP and CRM: what is the difference?

A CRM keeps track of relationships: who your customers and prospects are, what has been discussed and which quotes are still open. An ERP covers the business process itself: orders, stock, purchasing, production, invoicing and accounting in one system. Small businesses rarely need a large ERP. A lighter setup is usually enough: a CRM for customers and quotes, an accounting package for the figures and integrations between them.

Rolling out an ERP from a large vendor takes months, which is often too much for a small business. That is why we first look at which processes really belong together. For the integrations themselves, see integrations and automation.

Do you not want a months-long project for your sales? There is also a ready-made option: Avsaro, our own business portal for quotes, invoices and subscriptions. It handles your sales, from quote to payment, and is quick to start using. For stock or production you need a different system.

How a software project runs

A project starts with a conversation about the process: who does what, where time gets lost and what you would like to be able to do tomorrow. Then we draw up a plan with a first version that is small but usable. We build in short steps and show you what we have along the way, so you can steer.

If it is an app or portal rather than business processes, read the page on apps and web applications as well.

Ownership, costs and maintenance

What we build for you, you can keep using, even without us. We agree up front who owns the code and where the software runs. The costs consist of the build and then hosting and maintenance. We make both visible before you start.

For a good estimate we need to understand your process, which is why the quote follows an intake. You do not have to know exactly what you want; a first conversation is meant to work that out together.

07Frequently asked questions

Custom ERP or ready-made?

Do I need a custom ERP, or is Avsaro enough?
If you mainly want to handle quotes, invoices and subscriptions, Avsaro is often enough and ready much sooner than a system of your own. If you need stock, purchasing, production, planning or several users in one system, custom software is the better choice. In a conversation we look at which of the two fits.
Is Avsaro an ERP?
No, Avsaro is a business portal for your sales, from quote to payment. If you need stock, purchasing, production or a general ledger, a custom ERP is the right choice.
What does Avsaro cost, and what does a custom ERP cost?
Avsaro costs €495 one-off and then €150 per month, both excluding VAT, with hosting, maintenance and 1.5 hours of support per month. Extra work is charged separately. For a custom ERP we make a quote after an intake, because the cost depends on your process.
